Job Description:Viking is seeking two Senior Contracts Specialists to join the Customer Service and Product Support (CSPS) division in Calgary, Alberta. Viking Air Limited (a subsidiary of Longview Aviation Capital) is the global leader in utility aircraft services and manufacturer of Series 400 and Guardian 400 Twin Otter Aircraft. In 2020, Viking celebrated their 50th anniversary. Viking is the Original Equipment Manufacturer (OEM) and Type Certificate holder for all out-of-production De Havilland Canada aircraft and the Canadair Amphibious Aerial Firefighting aircraft fleet. Longview Aviation Capital, through its subsidiaries, holds the Type Certificates for the entire original product line of the De Havilland Aircraft of Canada Company. Together these companies continue to make strides in manufacturing and modernizing versatile, fuel efficient and environmentally responsible turboprop aircraft for use around the world. Due to the ongoing COVID-19 Pandemic, this role is eligible for a Temporary Remote Work Agreement under Vikings Remote Work Policy. SUMMARY OF FUNCTIONS: The Senior Contracts Specialist reports to the Commercial Director and the primary purpose of the role is to:Manage and administer the key aspects of customer and supplier contracts and agreements for CSPS.Support the development, review, communication, and fulfillment of contractual terms and conditions for any related new agreements or any changes or modifications to such existing agreements as required.Ensure agreements adhere and comply to regulatory, legislative and industry specifications. Provide support to the department as well as to directors and managers as required.Participate in intra-company coordination supporting the efficient execution of work activities.Ensure application of professional standards and company processes are followed in accomplishing work activities.Strive to improve and develop internal practices and processes applying continuous improvement and Lean principles. MAJOR DUTIES AND RESPONSIBILITIES:Draft and review required CSPS Agreements including Non-disclosure Agreements (NDAs), Data License Agreements (DLAs), Customer Agreement (e.g. Sale Contracts, Basic Ordering Agreements), Supplier Agreements (Engineering Services, Master Supply Agreements), Representative Agreements and other miscellaneous agreements as required.Complete all administrative aspects of Know Your Customer (KYC) processes and compliance and contract administration. Create contract compliance matrix and distribute to accountable leaders so they can successfully execute and manage to agreements.Organize and maintain an electronic system that tracks both draft and signed documents. Review legacy contract documents and organize them into the electronic system.Monthly Reporting and tracking of upcoming contract and agreement expiration dates. Ensure applicable contract request forms are available, used and approved for department requirements. Assess, track and identify key needs for long term contracts including specification, acquisition, maintenance, and support requirements. Advise or work with customers and internal service providers (as required) to ensure needs are met. Provide consistent visibility and communication to all stakeholders on all upcoming actions, changes and plans to assure objectives are achieved.Coordinate with Finance and customers to establish payment structures and specify payment mechanism as part of the contract negotiation and preparation process.Periodically monitor and audit CSPS contractual performance as well as compliance to contractual terms and conditions providing feedback to accountable managers and executive.R2E / Continual Improvement: Actively participate in Viking’s Runway 2 Excellence (R2E) program. Assist in the development of standard work for all division activities respecting Lean principles. Understand metrics that measure key performance parameters. Strive to achieve world class levels of customer service in every interaction our clients have with Viking. EXPERIENCE AND/OR EDUCATIONAL REQUIREMENTS:BS/BBA/BA in Business, Finance, Engineering or related field, or equivalent combination of education and experience. 5-7 years of professional contracts or business-related experience preferred.Proven track record in commercial management in a complex business environment, ideally in Aviation or similar business areas (e.g. railways, construction, oil & gas, technology, energy);Experience and knowledge in proposal preparation, risk identification and negotiations.Knowledge of contract and intellectual property law and its application in the purchasing process.Proficiency in MS Excel, MS Word, MS PowerPoint, Adobe Acrobat and other electronic document systems is required.Knowledge of rules and regulations related to U.S. ITARS and Canadian Controlled Goods requirements is preferred.
