Job Description:The Executive Assistant is responsible for a wide variety of administrative duties in support of the President, and Executive team members. Duties include but are not limited to assisting with arranging travel plans, meeting minute-taking if required and distribution, scheduling appointments, drafting both internal and external correspondence. The Executive Assistant is also required to maintain confidentiality and professionally interact with employees, management and the public. Other duties shall be assigned as necessary. Core CompetenciesQuality OrientationTime ManagementProblem SolvingAccountability and DependabilityResearch and AnalysisEthics and IntegrityPlanning and OrganizingCommunicationEnergy and StressTeam WorkCreative and Innovative ThinkingStrong Communication skillsExtensive Knowledge and experience with Social MediaHigh EnergyQuality Results FocusedEvent Planning Job DutiesProvide direct administrative and office management support to the President and the executive team, as directed.Maintain work schedules and calendars of executive team, particularly the President.Prepare travel schedules, book travel arrangements, and make reservations.Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events.Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.Prepare draft reports, background documentation, and research.Coordinate office activities.Review, evaluate, and distribute priority correspondence for executive team.Facilitate communication from President and executive members.Design and complete reports and other related duties.Take and transcribe dictation notes.Prepare and review presentations.Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons.Build and manage communication templates.Provide input on designs that identify and create interest in the product.Implement/manage marketing procedures and processes, evaluate existing practices and look for opportunities for standardization and improvement.Other duties shall be assigned as required. RequirementsPost Secondary Diploma in Business Administration, or relevant discipline, required.Secondary School Diploma required.4 to 6 years’ experience in an Administrative/EA role required.Strong knowledge of office procedures and practices.Keen attention to details.Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).Resourceful and flexible.Proven organizational and time management skills. Work ConditionsManual dexterity required to operate computer and peripherals.Interacts with employees, various management levels and the public.Ability to lift to 25 lbs.
